Landscaping bookkeeping: seasonal deposits against materials, fuel and equipment
A lawn-care or landscaping business is paid by HOAs and property managers over Zelle, and by homeowners through card processors, and spends on materials, fuel, equipment parts and a few subscriptions. The bank statement holds all of it, so the month's profit starts there.
Worked example: one September
The tool ships a synthetic statement for a landscaper (fixtures/landscaping-checking.csv): three deposits and seven costs. All ten lines get a suggested account with no rules taught. Check the Home Depot line: a building-supply store sells things you resell, things you use up and things you keep for years, and the tool files it as supplies.
| September 2026 | Amount |
|---|---|
| HOA Zelle, Stripe and Square deposits | $2,080.00 |
| Sales | $2,080.00 |
| Home Depot mulch and sod, mower blades (supplies and materials) | −$294.40 |
| Fuel (vehicle and fuel) | −$96.30 |
| Jobber, Gusto fee (software) | −$115.00 |
| Google Ads (advertising) | −$75.00 |
| Commercial auto, Progressive (insurance) | −$142.00 |
| Profit | $1,357.30 |
Crew wages outside the payroll fee, dump fees paid in cash and the cost of a new mower are not on this statement; a mower bought for several years' use is a fixed asset, not a supply, so move it to the asset register (depreciation). Only the fuel is booked, so choose actual vehicle costs or the standard mileage rate, not both.
What the tool does for a landscaping business
- Imports the bank CSV and suggests Sales for Zelle, Stripe and Square deposits.
- Files the recurring costs: fuel, scheduling and payroll software, equipment parts, ads and vehicle insurance, and leaves unfamiliar payees for your call.
- Reports a P&L and a Schedule C worksheet, with a mileage log and quarterly estimated-tax dates in the tax calendar.
Rules are written from company names; no real landscaping business's statement has been tried.
Questions
Are Zelle payments from an HOA or client income?
Yes, payments customers send for mowing, planting or cleanup are sales. The importer files Zelle payments from a named payer, Stripe transfers and Square deposits under Sales. Check any Zelle line that is a refund, a reimbursement or a personal transfer and move it.
Is a Home Depot receipt a supply, a cost of goods or an asset?
The tool files hardware and building-supply stores under supplies and materials, which fits mulch, sod and blades used on jobs. A mower, trailer or trimmer meant to last several years is a fixed asset: move it to the asset register so it is depreciated instead of expensed at once.
Is it free?
Yes. It is open source (MIT), runs in your browser and nothing is uploaded.
