When do I need to cancel a SaaS auto-renewal? Notice windows and seat right-sizing

Short answer: the last day is the renewal date minus the notice days in your order form, and the time to start talking is a month before that. After it, most auto-renewing contracts have renewed for a full term at the vendor's proposed price, so the conversation that could have saved money turns into a request for a favour.

A worked list

Eight subscriptions costing $228,600.00 a year, seen on 2 October 2026, with a 10% spare-seat buffer, a 10% extra ask and talks starting 30 days before each notice date.

What to feed it

  1. From each order form: the renewal date, the notice period, whether it auto-renews and the proposed or capped increase.
  2. From each admin console: seats paid and seats used in the last term, not the headcount.
  3. Your own choices: how many spare seats to keep, how much extra to ask for, and how early to start.

Read the contract itself before relying on a date: some require written notice to a named address, count days differently, or give a right to reduce seats mid-term.

Questions

When do I need to cancel a SaaS auto-renewal?

Before the notice date in your order form: the renewal date minus the notice days, commonly 30, 60 or 90. After it, an auto-renewing contract usually renews for a full term at the proposed price. The planner prints that date for every subscription.

How many seats should I renew?

The seats people actually used in the last term plus a buffer for hiring, rounded up and never above the seats you pay for. A 10% buffer is a common starting point; the planner lets you change it.

How much should I ask for?

Ask first to renew right-sized at today's per-seat price with no increase. That is the floor target. Anything beyond it, such as a multi-year commitment in return for a further discount, is the stretch target, and what the vendor agrees to is theirs to decide.
